What we collect and why
Bookings
When you book a place we collect the name, email address and business of each person on the booking, which tickets and any hot desk were chosen, and whether payment was made. We use this to manage the event, send booking confirmations, reminders and cancellation emails, and keep attendance records. Our lawful basis is contract (providing the booking you asked for) and our legitimate interests in running the event.
If you book for other people, you confirm that you are allowed to give us their details. We email each person directly with their own booking details, a link to cancel and a link to this notice.
Payments
Card payments are taken by Stripe. We never see or store your full card details. Stripe acts as an independent controller for some payment and fraud-prevention data; see Stripe’s privacy policy.
Joining the mailing list
If you join the network we collect your name, email address, and optionally your phone number, company and business sector. We email you when tickets go live and with occasional updates from the network. Our lawful basis is your consent, which we record with the date, how you gave it and the wording you saw. You can unsubscribe at any time using the link in every email.
If you were on our earlier mailing list, or booked a Handforth Business Network or Hive 365 event through our previous booking system, we have moved your details, the events you came to and your email preferences to this website. If you had unsubscribed, you stay unsubscribed.
Members directory
If you submit a profile for “Who’s in the network”, we show the details you give us (name, business, photo, short description, website and LinkedIn link, and your email address if you choose to show it) only after you have confirmed your email and we have approved it. You can edit or remove your profile at any time. Our lawful basis is your consent.
Enquiries
If you get in touch about speaking, running a workshop or working with us, we use your details to reply and to arrange anything we agree. Our lawful basis is our legitimate interests in responding to you.
Speakers and workshop hosts
If you speak at a morning or run a workshop, we show your name, business, photo, short bio and link on the event page, the Get involved page and in our tickets-live email, only once you have agreed. Tell us at any time and we’ll take them down. Our lawful basis is your consent.
Photos at events
We take a group photo and some candid photos at our mornings and publish them on this website and our social media. We tell you this when you book, in your reminder email and at the start of each morning. If you would rather not appear, tell us on the day and we will keep you out of the photos, or email us afterwards and we will remove or crop photos of you. Our lawful basis is our legitimate interests in showing what the network is like; you can object at any time.
Website analytics
If you accept analytics cookies, we use Google Analytics to understand how people find and use this website, such as which pages are visited and where visitors come from. We don’t use it to identify you or for advertising. Our lawful basis is your consent, which you can change at any time from the cookies page. If you reject them, Google Analytics doesn’t load.
Who we share it with
We use these service providers, who process data on our behalf under written agreements:
- Brevo (email sending and the mailing list), based in the EU
- Stripe (card payments)
- Railway (website hosting, database and photo storage), with our data stored in the EU
- Google (website analytics, only if you accept analytics cookies)
Some of these providers, or their support teams, are based outside the UK, mainly in the EU and the United States. Where data is processed outside the UK we rely on the safeguards UK data protection law requires: the UK’s adequacy regulations (including the UK extension to the EU–US Data Privacy Framework, where the provider is certified) or the UK International Data Transfer Addendum to the EU standard contractual clauses. We never sell your data.
How long we keep it
- Booking and attendee records: 24 months after the event, then deleted or anonymised, unless you are on our mailing list.
- Payment records: 6 years from the end of the financial year they relate to, for accounting and tax purposes.
- Mailing list: until you unsubscribe. We keep a record that you unsubscribed so we do not email you again.
- Directory profiles: until you remove your profile or ask us to.
- Enquiries: 24 months after we last corresponded.
- Analytics: Google Analytics keeps data for 14 months.
Your rights
You can ask to see the data we hold about you, to correct it, to have it deleted, to restrict or object to how we use it, and to receive a copy in a portable format. Where we rely on consent you can withdraw it at any time. Email hello@handforthbusinessnetwork.co.uk and we will respond within one month.
If you are unhappy with how we have handled your data, you can complain to the Information Commissioner’s Office (ico.org.uk, 0303 123 1113). We would appreciate the chance to put things right first.
